Job Description:

 

The office clerk/transcript processor is responsible for the maintenance of students' education records through proper filing of all documents and for processing transcript requests.

Processes requests for academic transcripts; submits list of names of transcript requestors for balance clearances; sorts and files correspondence, reports, or other materials; processes documents requiring various procedural knowledge specific to area of assignment; keeps office documents filed properly and up-to-date; keeps supplies ordered and updated; answers telephone calls, records and delivers messages; obtains necessary signatures and routes documents appropriately and provide follow-ups; provides information to other divisions and the public, applying significant knowledge of departmental rules; keeps well informed of changes in academic programs; disseminates registration materials; assists the secretary with clerical duties; reports transcript requests fees to the Office of Business and Finance; complete a "checklist for Receiving Folders from Undergraduate and Graduate Admissions" for each student and file folders properly; keeps abreast of record-keeping requirements to determine timetables for transferring active records to inactive files; maintains a consistent filing system for documents and records.

Qualifications Required :

Bachelor's degree in Computer Science, Business, Office Administration or other related fields or supplemented with other related office experiences; basic knowledge in office operations and practices; skilled in computer technology preferably Banner, the use of Microsoft Word, and a general records office operations; must be able to perform multiple tasks; must be able to work extended hours of operations; must be able to stay on tasks with assignments through completion; must be able to read and decipher data on source documents to be entered; must be able to enter and verify information with accuracy at a reasonable rate of speed; must be able to understand and follow oral and written instructions; must be able to work with considerable independence; must be able to maintain confidentiality; must be able to work well with diverse backgrounds.
